Here’s my email I sent out today:

Hi BNIers,

Thank you so much to all of those who took my auction forms this morning! I ran out! I only had 20 seconds this morning to explain this auction, so here’s just a bit more about it – including a letter below that explains it all in more detail and a form attached that you can fill out and fax in (Rooftop Fax: (415) 695-5429).

I think this would be a great way to advertise your business/services to a group of 600+ families who are looking to spend money because they know it’s going to a good cause (our school). Remember, you don’t send money, just offer a product or service. It’s also fully tax deductible.

What To Do

So here’s how you can help-and help your business, I’m going to use Mischa as an example:

1.) Fill out the attached form with the service you’re offering. [E.g. "Family photo session. $500"]

2.) Fax it in: Rooftop Fax: (415) 695-5429

3.) Mischa’s service, because it’s value is $500+, will receive a quarter page ad in the Rooftop Auction Catalog. Rooftop families and friends will all receive this catalog. It’ll also be listed on their auction website: http://www.rooftopauction.org.

4.) At the auction, families will bid on Mischa’s family photo session. Maybe it goes for $300, maybe it goes for $900, who knows. They’ll then have a voucher that they can use for the session with Mischa. There’s a chance no one buys the service or that someone buys it and never redeems it. That’s OK, Rooftop will still get the money spent.

5.) Mischa provides the service, hopefully has a new client, and when everyone at Rooftop hears of what a great photo session he did, he might have more clients.

If You’d Like to Come to the Event

Finally, it’s a really fun event if you’d like to come. Great products and services available (as well as art) and again, all for a good cause! Last year (for a friend’s school), I bought massage gift certificates for my wife, car wash gift certificates (guess that was for me … ), and got outbid on a two-night stay in some hotel in Napa.

Here’s the letter from Rooftop:

Dear Friend of Rooftop:

In the past years, you have generously supported Rooftop Alternative K-8 School, one of San Francisco’s most diverse public schools. I am writing to urge you to take part again in this school’s main fundraiser: The 16th Annual Auction & Children’s Art Show to be held February 28th, 2009 at the Hall of Flowers (aka, the County Fair Building) in Golden Gate Park.

Rooftop prides itself on its rich artistic programs and high test scores. However, as all under-funded public schools seem to, Rooftop depends on donations like yours to support not only our library, art, sensory motor and computer programs, but also everyday necessities like paper!

Your donation is a great way to target 600 Rooftop families, alumni and friends of the school who attend our auction each year. Your gift sends the message that you business is a caring part of a community that supports a whole generation of young learners and budding artists; students who will be the leaders of tomorrow’s San Francisco. Your business name will be listed in our auction catalogue, on our website (http://www.rooftopauction.org) and prominently display at our auction. Donating is a great way to advertise and you donation is fully tax-deductible with our non-profit tax status (ID# 23-7349936).

I hope we can count on your support again this year. All you have to do is fill out the enclosed donation form, which can also act as your gift certificate. Your donations can be sent to the address listed above or you can arrange for donation pickup by calling our auction hotline at 415-452-9787 or sending an email to rooftoppickup@gmail.com. One of our Rooftop parent volunteers will calling you to follow up on this letter within the next few weeks. In the meantime, we invite you call our auction hotline if you have any questions.
